
Refund & Cancellation Policy

At Event Train USA, we strive to provide reliable, family-friendly trackless train rental services for all types of events. We understand that plans may change, so we’ve created a clear and fair refund policy to support our customers while ensuring operational readiness for your event.
1. Customer Cancellations
a. 48 Hours or More Before Event
- Eligible for a full refund or full credit toward a future event.
- Credits are valid for 12 months.
b. 24–48 Hours Before Event
- Eligible for a 50% refund
- OR a full credit that can be used later.
c. Same-Day Cancellations
- Non-refundable, due to time, staffing, preparation, and travel scheduling.
2. Weather-Related Cancellations
Safety is our priority. Weather that may affect trackless train operations includes:
- Heavy rain
- Flooding
- Strong winds
- Lightning
- Hazardous conditions at the event location
If Event Train USA Cancels Due to Unsafe Weather:
- Customer receives a full credit with no extra fees.
- Credit may be applied to any available future date.
If Customer Chooses to Cancel Due to Weather:
- Standard cancellation rules apply unless Event Train USA confirms that weather conditions are unsafe.
Refunds for weather cancellations are not guaranteed, but credits will always be provided when rides cannot operate safely.
3. Rescheduling Requests
- Rescheduling is free if requested 48 hours or more before the event.
- Rescheduling within 48 hours depends on availability and may require a small adjustment fee.
4. No-Show Policy
If staff arrive at the event location and:
- The customer is unavailable
- The event location is inaccessible
- The environment is unsafe for operation
This is treated as a same-day cancellation and is non-refundable.
5. Deposit Policy
Some bookings may require a deposit to secure your date.
- Deposits are applied to your final balance.
- Deposits follow the same refund rules listed above.
6. Refund Processing Time
Approved refunds will be processed within:
- 3–7 business days for card payments
- 1–3 business days for cash or bank transfer refunds
Times may vary depending on your bank.
